Why Migrate to Office 365?

Microsoft 365 (formerly Office 365) has become the backbone of modern business communication and collaboration. With Exchange Online, Teams, SharePoint, and OneDrive working together seamlessly, it's the single most impactful technology upgrade most businesses can make.

But migrations can go sideways fast if you don't plan properly. Here's the checklist we use at MetaFerm for every client migration.

Pre-Migration Checklist

1. Inventory Your Current Environment

Before touching anything, document what you have:

  • Email accounts — How many mailboxes? What's the total data size?
  • Distribution lists and shared mailboxes — These need special handling
  • Existing domain configuration — MX records, SPF, DKIM, DMARC
  • Third-party integrations — CRM systems, marketing tools, anything that sends or receives email

2. Choose Your Migration Strategy

There are three main approaches:

  • Cutover migration — Best for businesses under 150 mailboxes. Everything moves at once.
  • Staged migration — Move users in batches over days or weeks. Good for larger organizations.
  • Hybrid migration — Keep some mailboxes on-premises while moving others to the cloud. Complex but sometimes necessary.

3. Prepare Your Users

The technical migration is only half the battle. Your team needs to be ready:

  • Schedule training sessions for Outlook, Teams, and OneDrive
  • Set expectations about the timeline and any brief disruptions
  • Identify power users who can help their colleagues after the switch

4. Execute the Migration

  • Verify DNS records are correctly updated
  • Monitor mailbox migration progress in the Exchange admin center
  • Test mail flow in both directions
  • Verify calendar items, contacts, and folder structures transferred correctly

5. Post-Migration Validation

  • Confirm all users can send and receive email
  • Verify mobile devices have reconnected
  • Check that shared mailboxes and distribution lists work
  • Ensure compliance and retention policies are applied

Common Pitfalls to Avoid

  • Not backing up before migration — Always have a rollback plan
  • Ignoring DNS TTL — Lower your TTL values 48 hours before migration
  • Forgetting about service accounts — Printers, scanners, and applications that send email need updating too
  • Rushing the process — A clean migration takes planning. Cut corners and you'll pay for it in support tickets
